How to be the Ultimate Host: A Guide to hosting easily with a personal twist and practical tips.

Whether it's an intimate dinner or a large celebration, the secret to making a lasting impression lies in the details. With 15 years of experience hosting everything from casual get-togethers to grand weddings, I've learned valuable lessons along the way. Here are some practical tips to help you elevate your hosting skills.

Get to Know Your Guests

Understanding your guests is the cornerstone of effective hosting. Each event is unique, and the personalities on your guest list can significantly influence the atmosphere.

At Slipperfields and Swanlake Gardens, we allow for an initial viewing of the venue and a second meeting to plan and exchange ideas.

During these meetings, we get to know our clients, who, in turn, know their guests. I often tell potential clients that when I want to host an event, I want the event to speak to my guests, and, in most of their instances, their guests are family and friends.

In reality, you would want to invite guests to your home for an event, but if you are like me, you won't have a house big enough to entertain 50-plus guests.

This is why you host a wedding, birthday or any other important celebration at a venue like ours😉.

Using your home as a benchmark could simplify compiling a guest list.

For example, if it's your wedding or birthday, why invite someone to share a special day with you at a venue if you have not shared a meal or glass of wine in the comfort of your home or theirs?

It begs the question, are they then so close to you? Should they be invited?

When you have survived this guilt-free culling of who gets invited and who does not, tailor your setup, activities, and menu to meet their needs. When you create a comfortable environment, your guests are more likely to enjoy themselves. And you all will feel right at home.

Creating the Right Atmosphere

The atmosphere sets the stage for your gathering. Infuse your creativity to craft a memorable experience.

During my sister’s wedding celebrations, we embraced a floral theme that reflected her love for nature, rich, deep colours that spoke to her and her husband's love of good food and refined surroundings. I invested and reinvented Slipperfields' ceiling by adding five vintage chandeliers. All decor does not have to be so extravagant; it sets the tone even if it is minimal.

The chandeliers spoke to yesterday's grandeur, and the light bounced off the polished champagne glasses as friends and family were toasted and the best wedding hosted.

Consider lighting, music, decor, and space layout when planning your event. A well-thought-out atmosphere can transform your event, making guests feel relaxed and engaged but still appreciate the detail.

Food and Drink: The Gathering’s Heartbeat

Eat, drink and be merry. Whether it's a full meal, appetizers, or cocktails, aim for food that delights both the palate and the eyes.

Adding a champagne tower to your event will have everyone talking and is a great photo opportunity.

Consider incorporating local produce and vibrant colours into your food and drink selection.

At Slipperfields, we grow most of our produce and source it locally as much as possible. Interactive stations, such as grazing tables or a build-your-own cocktail area, can also engage guests and encourage mingling.

The Importance of Clear Communication

As the host, you are your guests' primary point of contact. Clear communication guarantees that everyone feels welcomed and informed throughout the event.

Before the gathering, give guests vital details such as time, location, dress code, and special items they should bring. During the event, maintain open communication. Introduce guests to one another, check in on their needs, and guide them through the activities.

Normally there is an Master of Ceremonies that woud fulfill this role, choose the MC wisely.

An MC that has no sense of humour or confidence or isn't that nice to look at won't add to your event's flow or command attention, and one that has the drinking habits of Jack Sparrow and the vocabulary of Cartman from South Park might cause some embarrassment.

Embracing the Unexpected

Not everything will go according to plan, and that’s okay. Embracing the unexpected is key to successful hosting.

Events planners often double as hosts at events. In our case, we always have a front-of-house manager on duty.

You need not run around.

Sometimes, a cake arrives in pieces, and we fix it. I have glued many a stiletto shoe, hand-stitched ripped pants, reprinted incorrect seating plans, intervened in a bathroom meltdown and whipped up a gourmet salad for the guest who doesn't eat anything. (those are our favourites)

Being able to adjust can turn potential mishaps into charming memories, so don't sweat the small stuff.

Creating Lasting Memories

As your event winds down, make it a point to greet each guest personally. This small gesture can have a significant impact.

After gatherings, I like to send personalized messages, perhaps with a fun event photo or a joke reminder. This special touch makes your guests feel appreciated and leaves them with fond memories of their time spent with you.

You need not spend a fortune on trinkets.

Final Thoughts

Hosting can be a joyful and fulfilling experience when it is approached with confidence and thoughtfulness. By understanding your audience, setting the right atmosphere, serving delightful food and beverages, ensuring clear communication, rolling with the unexpected, and leaving a lasting impression, you can become an exceptional host, and if you don't want to be the host, contact us.

Allow your personality to shine in your events. With a little effort and imagination, you can turn ordinary gatherings into extraordinary experiences that your guests will cherish for years to come. Happy hosting!
